Distribution of documents to Representatives and Substitutes

Resolution 110 of 26th October 1956 on the distribution of documents to Representatives and Substitutes is cancelled and replaced by the following provisions :

1. During Sessions of the Assembly the following will be the only documents distributed automatically to Representatives and Substitutes :

a Minutes of Proceedings and Official Reports of the debates of the Assembly ;
b Documents of Committees of which the Representative or Substitute is a member ;
c The provisional edition of texts adopted by the Assembly ;
d The Notice, which includes the Orders of the Day for each sitting and the list of Assembly documents available.

The documents listed in the Notice, including reports by Committees to the Assembly and reports and communications by the Committee of Ministers, will be distributed to Representatives or Substitutes only on request.

2. Between Sessions the following will be the only documents distributed automatically to Representatives and Substitutes :

a The Agenda and draft Order of Business for the next part-Session,
b Documents of Committees of which the Representative or Substitute is a member ;
c The list of Assembly documents available during the inter-Session.

A number of copies of the documents mentioned in the list referred to in (c), including reports by Committees on questions placed on the Agenda for the next part-Session and reports and communications by the Committee of Ministers, will be sent to the Secretariat of each national delegation. Such documents will be distributed by the Distribution Office of the Council of Europe to Representatives or Substitutes only on request.

3. During Sessions documents distributed automatically will be placed in the Representatives' or Substitutes' pigeonholes ; between Sessions they will be despatched to the address given to the Secretariat General.

4. Documents relating to a current sitting will be placed on the counter in the Distribution Office and in the Assembly Hall. They will be handed immediately to those Representatives who request them from the ushers on duty.

5. The printed volumes - Texts adopted by the Assembly, Orders of the Day and Minutes of Proceedings, Documents Working Papers, Official Report of Debates, Collected Notices - will be sent to the Secretariat of each national delegation as soon as they are published. They will be distributed to Representatives or Substitutes only on request.

6. The Clerk of the Assembly will be responsible for putting the present Resolution into effect.
